Executive Assistant


Responsibilities:


  • Executive support to Managing Director

  • Maintaining records

  • Extensive diary management

  • Making reservations for meetings/events at appropriate venues

  • Collating and submitting all expenses

  • Ad-hoc administrative and personal tasks as and when required

  • Being the ambassador for the MD internally

  • Managing personal correspondence

  • General day to day administration

  • Assisting with a variety of special projects as directed

  • Office Purchasing

  • Extensive Diary management of business appointments, arrangements and commitments

  • Arranging external and internal meetings and updating the diary accordingly

  • Conduct follow-ups to ensure all scheduled meetings occur

  • Manage and co-ordinate all random/ad-hoc administrative requests, including a level of personal work – all with the utmost efficiency and discretion

  • Provide full secretarial support, including filing, retaining documents, dealing with all correspondence, drafting replies

  • Manage payment of all invoices relating to professional and personal business of the MD

  • Collating documents for meetings in a timely manner

  • Liaising with staff from the business as required

  • Develop and maintain relationships with key contacts

  • Respond to and follow up enquiries by post, telephone and emails relating to the MD’s business

  • First point of contact and gatekeeper for all calls to the MD

  • Prioritise all incoming telephone calls and emails for the MD in order of importance and relevance

  • Event Management with the ability to work within budgets


Requirements:

  • 5+ years of experience working as an Executive Assistant supporting a MD / CEO and excellent contactable references

  • Excellent communication with solid secretarial skills

  • Unflappable attitude, resilient

  • Proactive, forward thinker

  • Ability to perform well under pressure with a large workload

  • Friendly, well organised with the ability to multi-task

  • Ability to always maintain professionalism and a calm demeanour

  • Team player, happy to work outside remit when needed

  • Highly organised

  • Superb attention to detail

  • Systematic and procedure driven

  • Self-motivated

  • First class written & oral communication skills

  • Proficiency with Microsoft Office applications Word, Excel, PowerPoint and Outlook
